About the Role
We are seeking a motivated and detail-oriented Part-Time Administrative Assistant to support our San Mateo office. This role is ideal for students or individuals pursuing a related field who are looking to gain hands-on professional experience in office administration while maintaining a flexible schedule.
Key Responsibilities
· Answer and direct incoming phone calls in a professional manner.
· Draft, format, and prepare business letters, memos, and internal documents.
· Manage incoming and outgoing mail, packages, and courier services.
· Maintain and order office supplies; track inventory levels.
· Support facilities management, including vendor coordination and scheduling repairs/services.
· Greet and assist office visitors, ensuring a welcoming environment.
· Support filing systems and ensure confidential information is handled appropriately.
· Assist with internal accounting tasks in NetSuite, including invoice entry, billing and payment record, and preliminary reimbursement checks (e.g., verifying supporting documents).
· May also support other accounting duties as assigned.
Qualifications
· Currently pursuing or completed degree in Business Administration, Accounting, or a related field.
· Strong organizational skills and attention to detail.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with basic data entry.
· Excellent verbal and written communication skills.
· Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
· Professional, reliable, and eager to learn.
